The short answer
There is no single legal ratio of first aiders to attendees. Event medical cover is set by a medical needs assessment — the approach taken by the Purple Guide, the events industry’s guidance — which looks at crowd size and profile, the activity, alcohol, weather, duration and how far the nearest emergency department is. The result can be anything from a first aid point to clinicians, treatment areas and ambulances.
What changes the level of cover
- Crowd size and profile. A family fun day and a late-night music event of the same size need very different cover.
- The activity. Sport, motorsport, water and physical challenges bring their own injuries.
- Alcohol and drugs. They change both the number and the seriousness of cases.
- Weather and duration. Heat, cold and long days add up.
- Distance to hospital. The further the nearest emergency department, the more you need to handle on site — and the more an ambulance on standby matters, so the local NHS ambulance service is not stretched.
Levels of clinical skill
Event medical staff range from first aiders, through first responders and emergency care assistants, to paramedics, nurses and doctors. A good provider matches the skill mix to the assessment rather than to a headcount, and tells you which grades are on site.
The Safety Advisory Group
For larger events, the local authority’s Safety Advisory Group (SAG) will usually want to see your medical plan as part of the event safety documentation. Involving your medical provider early makes that much easier.
What to ask a provider
- Will you carry out the medical needs assessment, and can I see it?
- What grades of staff will be on site, and how are their qualifications checked?
- What equipment, treatment facilities and vehicles will you bring?
- How do you hand over to the NHS ambulance service and hospitals?
- How will medical staff talk to security and the event control? (Radios matter here.)
We plan event medical cover against your event plan, alongside security from the same team.
